EmpaKore Services – Privacy, Confidentiality & Data Protection Policy

1. Purpose of this Policy

EmpaKore Services (“we”, “our”, or “us”) is committed to protecting the privacy, confidentiality, and security of personal and organizational information shared with us.
This policy explains how we collect, use, store, and protect information in accordance with the Personal Data Protection Act (PDPA) of Singapore and the ethical standards outlined by the Singapore Association for Counselling (SAC).

Our work is built on empathy and trust. We therefore ensure all interactions — whether counselling, HR advisory, or training — are conducted with professional integrity and confidentiality at their core.

2. Scope

This policy applies to all services provided by EmpaKore Services, including:

  • Employee Assistance Program (EAP)

  • HR Advisory (Conflict-Focused)

  • Training & Development Programs

  • Website interactions, online bookings, and communications via email or forms

It covers all information collected from:

  • Individual clients (employees)

  • Corporate clients (organizations)

  • Website users and subscribers

3. Collection of Personal Data

We collect personal data only as necessary to deliver our services effectively and ethically.
This may include:

  • Name, email address, and contact details

  • Organization name and role (for corporate clients)

  • Information voluntarily shared during counselling or advisory sessions

  • Booking and scheduling preferences

  • Feedback or evaluation forms (optional)

We do not collect unnecessary personal data or share any identifiable session content without consent.

4. Use of Personal Data

Your personal data is used only for purposes related to:

  • Delivering counselling, HR advisory, or training services

  • Managing bookings, appointments, and communication

  • Internal data review to improve service quality

  • Providing aggregated (non-identifiable) insights to organizations for trend analysis

  • Compliance with legal obligations, where required

All counselling and advisory discussions remain strictly confidential and are never disclosed to employers or third parties without explicit consent.

5. Confidentiality in Counselling & Advisory Services

At EmpaKore, confidentiality is fundamental.
We uphold the ethical principles of the Singapore Association for Counselling (SAC), including:

  • Respect for Privacy – client information is shared only with consent.

  • Professional Responsibility – counsellors and advisors maintain confidentiality even after a professional relationship ends.

  • Limited Exceptions – disclosure may occur only when:

    • Required by law, or

    • There is a serious and imminent risk of harm to self or others.

All client records are securely stored in encrypted systems and accessible only to authorized personnel.

6. Storage and Security of Data

We take reasonable technical and organizational measures to safeguard personal data against unauthorized access, loss, misuse, or disclosure.
Our practices include:

  • Secure password-protected digital storage (via Google Workspace)

  • Encrypted communication and file sharing

  • Restricted access to counselling and advisory records

  • Regular data backup and security audits

All digital data is stored in compliance with Singapore’s PDPA requirements and Google’s regional data protection standards.

7. Retention of Data

Personal data will be retained only for as long as necessary to fulfil the purpose for which it was collected, or as required by law or professional ethical standards.
When data is no longer required, it will be securely deleted or anonymized.

8. Your Rights

Under the PDPA, you have the right to:

  • Access your personal data held by us

  • Request correction of any inaccurate information

  • Withdraw consent for data collection or usage

We will respond within a reasonable timeframe and in accordance with PDPA guidelines.

9. Third-Party Links and Integrations

Our website and booking system may contain links or integrations with third-party services (e.g., Google Calendar, Wix Bookings, Google Meet).
While we select reputable providers, we encourage you to review their privacy policies as we are not responsible for their data practices.
